1. Definitions

These definitions should help you understand this policy. When we say “we,” “us,” “our,” “Exponential View,” or “publication” we are referring to OxMedia Ltd, based out of Ilford, UK.

Exponential View is a weekly newsletter publication delivered by email using Mailchimp services. It is curated by Azeem Azhar, who shares his and others’ views on societal changes influenced by exponential technologies.

When we say “Subscriber,” we are referring to individuals who give consent to become part of our mailing list in order to receive Exponential View newsletter. In other words, a Subscriber is anyone on our Distribution List who voluntarily opted in to receive weekly emails. “Personal Information” means any information that identifies or can be used to identify a Subscriber, directly or indirectly, including, but not limited to, first and last name, date of birth, email address, gender, occupation or other demographic information. A “Distribution List” is a list of Subscribers and all associated information related to our Subscribers (for example, email addresses).

When we say “Controller”, we are referring to the organization that determines the means and purposes of processing personal data, in this case us. When we say “Processor”, we are referring to the organizations that process the data on behalf of controller, in this case Mailchimp, Squarespace, Google Analytics, or FullContact.

We have two signup locations: on our Mailchimp page http://eepurl.com/dcYRcD and our website www.exponentialview.co. This Privacy Policy applies to these specific pages. While providing the Services, and as described in more detail below, we may collect Personal Information about a Website visitor, Member, person or email address on or related to a Distribution List, or Subscriber.

2. Changes

We may change this Privacy Policy at any time and from time to time. The most recent version of the Privacy Policy is reflected by the version date located at the bottom of this document. All updates and amendments are effective immediately upon notice, which we may give by any means, including, but not limited to, by posting a revised version of this Privacy Policy or other notice on the Website or in the newsletter. We encourage you to review this Privacy Policy often to stay informed of changes that may affect you, as your continued use of Exponential View signifies your continuing consent to be bound by this Privacy Policy.

This Privacy Policy is effective with respect to any data that we have collected, or collect, about and/or from you.

5. Information We May Collect and Process

(a) Information you voluntarily provide to us: When you subscribe to Exponential View, send us an email response, or communicate with us in any way, you are voluntarily giving us information that we process. That information may include your name, email address, IP address, physical address, device type, browser, email provider, as well as details including location, gender, occupation, language, and other demographic information. By opting-in by using our subscribe form, you consent to this information being collected and processed for the purposes of delivering Exponential View to you. We collect this information on the basis of Consent, meaning we provide positive opt-in form, and offer an opportunity to opt-out at any time.

(b) Information we collect automatically: When you subscribe to and consume Exponential View or browse one of our Web pages, our processors Mailchimp, Squarespace, Google Analytics may collect information about your visit to our Web pages, your usage of publication, and your web browsing. The information may include your IP address, your operating system, your browser ID, your browsing activity, your reading behaviour, and other information about how you interacted with our Websites or Exponential View. We may collect this information as a part of Mailchimp log files, as well as through the use of cookies or other tracking technologies. We collect this information on the basis of consent.

(c) Email information: If a Subscriber chooses to use the ‘forward to a friend’ (FTF) link in an email campaign we send, it will allow the Subscriber to share our email content with individuals not on our Distribution List. When a Subscriber forwards an email to a friend, we do not register nor process Subscriber friend’s email address and no one is added to any Distribution List as a result of the FTF.

(d) Information from your use of the Service: We may receive and use information about how and when you use our publication, which are stored in Mailchimp’s and our log files or other types of files associated with your account, and link it to other information we collect about you. This information may include, for example, your IP address, time, date, browser used, actions you have taken during the use. This type of information helps us improve our publication and Websites for both you and for all of our users. To do this, Mailchimp includes single pixel gifs, also called web beacons, in emails we send through them. Web beacons allow us to access information such as when you open the email, your IP address, your browser or email client type, and other similar details. Mailchimp also includes Web Beacons to create reports about how our email campaigns performed and what actions our Subscribers took. We collect this data on the basis of Legitimate Interests, as it allows us to assess the performance of each email campaign based on the data point you and other Subscribers create.

(e) Cookies and tracking: Through our Processors we use various technologies to collect, store and process information when you use our publication or Websites, and this may include using cookies and similar technologies to analyze trends, track users’ movements, administer the website, gather demographic information about our user base as a whole. Users can control the use of cookies at the individual browser level. We collect this data on the basis of Legitimate Interests, as it allows us to assess the performance of our publication and Website.

(g) Information from other sources: From time to time we may obtain information about Subscribers from third party sources, such as public databases, social media platforms, third party data providers such as FullContact and Linkedin Sales Navigator. We take steps to ensure that such third parties are legally permitted or required to disclose such information. Examples of the information we may receive from other sources include demographic information, device information, location, online behavioral data (such as information about your use of social media websites, page view information and search results and links). We use this information, alone or in combination with other information we have access to, to enhance our ability to provide relevant content to you and other Subscribers. We may use available information from previous databases built through our initial newsletter service provider, GetRevue. The type of information involves subscriber number and previous activity (date of subscription, open and click rates). We collect this data on the basis of Legitimate Interests, as it allows us to personalize our messages to you and keep in close touch with our most loyal Subscribers.

6. Use and Disclosure of Personal Information

We may use your Personal Information only for the following purposes:

(a) To send you Exponential View newsletter. You can stop receiving Exponential View emails by following the unsubscribe instructions included in every email.

(b) To email lapsed subscribers. Lapsed subscriber is every subscriber who didn’t open 20 or more campaigns. We occasionally email these users in order to get their feedback and revive their interest.

(c) To build and maintain personal relationships with our Subscribers and get them involved in Exponential View curation (i.e. “guest-curated”  newsletter issues) or special programs we develop for loyal readers.

(d) To personalize our email campaigns and emails to you and other Subscribers.

(e) To provide most relevant information related to the newsletter on social media channels most used by our Subscribers.

(f) To send email campaigns at the most opportune time for you and other Subscribers’ time zone.

(g) To analyze individual and group subscribers behavior, and provide best service we can.

(h) We will never disclose your personal information with the third party without your prior approval.

7. Third Parties

We do not disclose individual Personal Information to any third party. However, our processor Mailchimp may. For more information about how Mailchimp treats our and our Subscribers’ information please review their Privacy Policy (Section 9: Third Parties).

We may disclose campaign analytics as a whole (Distribution List open and click rate) to our partners (newsletter advertisers) for the purposes of offering value to our partners.

SECURITY

8. Notice of Breach of Security

If a security breach causes an unauthorized intrusion into Mailchimp’s system that materially affects you or people on our Distribution Lists, we will be in touch with you as soon as we’re notified by Mailchimp of such event.

9. Accuracy and Retention of Data

If your data changes (for example, if you have a new email address), then you are responsible for notifying us of those changes. Upon request, we will provide you with information about whether we hold, or process on behalf of a third party, any of your Personal Information. We will retain your information for as long as your account is active or as long as needed to provide you with our Services.

10. Access

We will disclose to our Subscribers access to any Personal Information we hold about them within 30 days of any request for that information. Individuals may request to access, correct, amend or delete information we hold about them by contacting us. There is no charge for an individual to access or update their Personal Information.
